1. Information We Collect
We collect information you provide when creating an account, using the Platform, or contacting us. This includes:
- Account Information: Name, email address, phone number, company name, and billing details
- Usage Data: Login timestamps, feature usage, pages viewed, and interactions within the Platform
- Customer Data: Lead information, contact details, follow-up notes, and activity records you enter into the system
- Technical Data: IP address, browser type, device information, and cookies (as described in Section 5)
2. How We Use Your Information
We use your information solely to:
- Provide, maintain, and improve the CRM Hub Platform
- Process transactions and send billing communications
- Send product updates, security alerts, and support messages
- Detect and prevent fraud, abuse, or violations of our Terms
- Comply with legal obligations
We do not sell, rent, or share your personal data with third parties for their marketing purposes. We do not data mine or profile users.
3. Data Storage & Security
Your data is stored on secure servers located in India. We implement:
- Encryption at rest (AES-256) and in transit (TLS 1.3)
- Role-based access controls with audit logging
- Automated daily backups with 30-day retention
- 24/7 infrastructure monitoring and intrusion detection
We comply with the Digital Personal Data Protection Act, 2023 (DPDP Act) of India. As a data processor, we process your personal data only on your lawful instructions. You represent that you have obtained all necessary consents from your customers before entering their data into the Platform.
Cross-Border Data Transfer: All data is stored exclusively on servers located within India. We do not transfer your personal data to servers outside India. If a third-party service we use processes data outside India (e.g., email delivery), it is contractually bound to comply with Indian data protection standards.
4. Security Breach Notification
In the unlikely event of a data breach that affects your personal data, we will notify you within 72 hours of our discovery. Notification will include the nature of the breach, affected data categories, and steps taken to mitigate. We maintain a written incident response plan and conduct periodic security audits.
5. Data Retention
We retain your data for as long as your account is active. After account cancellation, your data is retained for 30 days (export window) and then permanently deleted. Backup copies are purged within 90 days. Usage logs are anonymised after 12 months.
6. Cookies
We use essential cookies for authentication and session management. Optional analytics cookies are used only with your consent. You can control cookie preferences through your browser settings. Disabling essential cookies will prevent the Platform from functioning.
7. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal retention requirements)
- Export your data in a portable format
- Withdraw consent where processing is based on consent

8. Third-Party Services
We use trusted third-party services for specific functions:
- Payment Processing: Razorpay — we do not store credit card details
- Email Delivery: SMTP providers for transactional emails
- Cloud Infrastructure: Indian data centre providers
Each provider is contractually bound to process data only on our instructions and to maintain adequate security measures.
9. Children's Privacy
CRM Hub is not intended for individuals under 18 years of age. We do not knowingly collect data from minors. If we become aware of such data, we will delete it immediately.
10. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be notified via email or in-app notification. The "Last updated" date at the top reflects the most recent revision.
